Swim meets and special events run on the volunteer efforts of our swim families. We require each family to fill 4 shifts during swim meets throughout the season and ask you to fill more if you are able. Please discuss special circumstances with Kristin Lundeen. Parents may be assigned to volunteer at any meet their swimmer is registered to attend in order to run the meet.
Volunteer Positions
Brief descriptions - see attachments below for full description of each.
Announcer – Calls swimmers to the clerk of course for each event; announces scores, records, upcoming events, etc. Full meet time requirement.
Clerk of Course - Organizes swimmers behind the starting blocks in the right lanes and heats. Records deviations from the original heat sheet (scratches, substitutions, lane changes, etc.) for reconciliation with timing data. Must attend the volunteer briefing by the TSA reps before the meet. Full meet time requirement, but you can split (i.e. alternate boy/girl) events with a partner.
Kid Pusher - Collects younger swimmers and moves them to the Clerk of Course in the right order in time for their events. For relays, make sure swimmers are at their correct places at either end of pool. Full meet time requirement (except 6Us who are finished after breaststroke).
Lane Timer - Obtains official times for swimmers in their lane (regardless of which team a swimmer belongs to). Each lane will have up to two volunteers. First half timers must attend the volunteer briefing by the TSA reps before the meet and will work through the conclusion of the backstroke event. Second half timers need to be in place and ready to take over from first half timers at the beginning of the breast stroke event.
Order of Finish Judge - Watches main event (first event for each age group) and reports to the Recorder the order of finish for First, Second and Third place only. Must attend the volunteer briefing by the TSA reps before the meet. Full meet time requirement, but you are only “on” for main events.
Recorder - Stands with the Place Judge and records the order of finish as viewed by the Place Judge for the main events (first event for each age group). Record is then delivered to the Meet Administration table by the Runner. Must attend the volunteer briefing by the TSA reps before the meet. Full meet time requirement, but you are only “on” for main events.
Heat Judge - Hands heat-winner and meet participant ribbons to all 10U swimmers as they exit the pool for all heats in individual events except main events. Full meet requirement but you are only “on” for 10U events.
Ribbon Writer - Records main event information on place ribbons via either handwritten or printed labels.
Runner - Picks up place judge records from the Recorder and DQ slips from the Stroke and Turn Official during the meet and delivers them to the Meet Administrator. Must also bring event sheets from Clerk of Course to the Recorder before races that do not finish at the starting blocks. If timing sheets are used, collects those and delivers to the Meet Administrator. Full meet time requirement.
Hospitality - Distributes bottled water to the coaches and volunteers on both teams during the meet. Anyone that looks like a volunteer – coaches, timers, kids pushers etc. all get thirsty! Arrive before the meet begins, and confirm where the water bottles and ice are located. They can prepare a cooler with ice and place water bottles inside to chill. There is a hand-held plastic basket that is also filled with ice and used to carry bottles of water around the pool deck.
Jobs Requiring TSA Training -
Scorekeeper/ Meet Administrator – Responsible for entering meet information into Meet Maestro, includes Place Judge records, Disqualifications, and times. Scores can be generated from Meet Maestro (or tabulated on traditional scoring pages if necessary).
Stroke and Turn Official - Verifies that main event heat athletes are swimming each stroke in accordance with TSA rules.
